Shipping & Logistics Policy

At InGain LLC, we specialize in bridging the gap between global coffee origins and the U.S. market. Our logistics framework is designed to provide transparency, manage regulatory risks, and offer flexible delivery options for both B2B and B2C clients.


1. Delivery Options & Incoterms

InGain LLC offers several international commercial terms (Incoterms) to suit our customers' logistics capabilities. We do not offer DDP (Delivered Duty Paid). All shipments are conducted under the following terms:

  • CIP / CIF / CFR / CPT: For customers who prefer InGain LLC to manage the primary international freight.

  • FOB / FCA: For customers who prefer to manage their own ocean or air freight from the port of origin.

2. Importer of Record (IOR) & Customs Clearance

For all shipments entering the United States, InGain LLC acts as the Importer of Record (IOR).

  • Compliance Management: We manage the legal entry of goods, including U.S. Customs and Border Protection (CBP) filings and necessary FDA documentation at the port of entry.

  • Customs Support: We provide our expertise and support to ensure a smoother experience for our clients regarding FDA and FSMA standards.

  • Transfer of Risk: Risk of loss transfers from InGain LLC to the buyer upon delivery to the specified port of entry. If InGain LLC is managing the final customs clearance, risk transfers upon delivery to the buyer’s specified warehouse facility.

3. Quality Assurance & Pre-Shipment Inspection

To guarantee the integrity of our green and roasted coffee, we utilize a multi-layered verification process before shipment:

  • Third-Party Inspection: We can provide independent reports from accredited bodies such as SGS or Bureau Veritas.

  • On-Site Verification: Our team frequently visits suppliers in India, Vietnam, Ethiopia, Burundi, and Honduras to conduct physical inspections and supervise shipment arrangements.

  • International Test Hub: Certain lots may undergo sensory and technical evaluation at our facility in Yerevan, Armenia.

  • Samples: We strongly encourage all customers to order and test samples themselves prior to placing full-scale orders.

4. Shipping Timelines

  • Sample Orders: Typically dispatched within 5–7 business days via international courier.

  • Bulk/Wholesale Orders: Lead times vary significantly based on the origin, harvest season, and ocean freight schedules. Estimated arrival dates (ETA) will be provided at the time of Proforma Invoice. InGain LLC is not liable for delays caused by port congestion, weather, or carrier disruptions.

5. Packaging and Handling

  • Green Coffee: Standardized in industry-standard jute bags (typically 60kg or 69kg) with GrainPro/Hermetic lining where specified.

  • Roasted Coffee: Packaged according to the specific requirements of the order or Private Label agreement.

  • Consolidation: We offer palletized LTL (Less Than Truckload) and FCL (Full Container Load) shipping options.

6. Shipping Rates and Documentation

  • Quotes: Shipping rates are calculated based on current market freight costs and the specific Incoterm selected.

  • Documentation: InGain LLC provides all necessary commercial invoices, packing lists, and Certificates of Origin. Technical datasheets are available for each coffee profile upon request.
