Free Sample & Evaluation
Week 1 – 3
We dispatch your free sample within 3–5 business days of your request. International courier to most US business addresses takes 5–10 business days. We recommend roasting and cupping within 1 week of receipt, then sharing your feedback so we can refine the lot selection.
Tip: Request samples from 2 origins simultaneously to compare. Most clients narrow to one origin within 1 cupping session.

Quote, Order Confirmation & FSVP Onboarding
Week 2 – 4
We issue a full landed-cost quote (FOB + freight + IOR fee + delivery). Once approved, we issue a Proforma Invoice and collect the agreed deposit (typically 30–50%). At this stage, we also walk you through your FSVP obligations as the US importer of record with FDA — your compliance checklist, supplier verification records, and what to keep on file.

Origin Preparation & Pre-Shipment
Week 3 – 7
Lot selection at the origin farm or cooperative. Pre-shipment quality inspection and moisture testing. Export documentation prepared: Phytosanitary certificate, Certificate of Origin, Commercial Invoice, Packing List. InGain files the CBP Importer Security Filing (ISF) at least 24 hours before vessel loading. Buyer completes FDA Prior Notice (we provide a step-by-step guide).
Current situation note: Red Sea disruptions and Suez Canal re-routing continue to add 7–14 days to some India and Ethiopia shipments. We factor this into all lead-time estimates.

Ocean Freight
Week 6 – 13 · origin dependent
Cargo departs on the next available vessel. Current realistic transit times (port to port):

Vietnam → US West Coast: 18–28 days
India → US West Coast: 25–38 days
Ethiopia → US: 35–50 days (routed via Cape of Good Hope)

We share the Bill of Lading and vessel tracking link so you always know where your cargo is.

R&P
Roast & Pack — Additional Stage (if applicable)
+3 – 5 weeks at origin
This step applies to the Roast & Pack tier only. Green beans are roasted and packed by our vetted partner roasting and packaging facility at origin — before the shipment departs. This means the product arrives in the US as finished, shelf-ready retail units. Sequence: green bean intake & quality check (3–5 days) → roasting to agreed profile (5–10 days) → cooling, degassing, packaging & labeling (5–7 days) → QC inspection & export clearance (3–5 days). Roast profile, packaging spec, and label artwork must be approved before this stage begins — ideally finalised during Step 3.
Label artwork tip: Have your label design ready in print-ready PDF (300 DPI, CMYK) before Step 3 to avoid delays. Note: roasted coffee shipped internationally requires different CBP commodity codes and packaging compliance than green beans — we handle this for you.

US Customs Clearance
Week 11 – 15 · 3–7 days at port
InGain files the CBP Entry (Form 7501) and manages all customs clearance as your IOR. If CBP selects the shipment for physical examination, add 2–5 business days. You as the FSVP importer ensure your FDA documentation is current and accessible. We provide a checklist. Green coffee: 0% import duty.

Delivery & Final Settlement
Week 12 – 18 · you have your coffee
Released cargo moves by domestic freight to your warehouse or roastery (3–10 business days depending on destination). We issue the final invoice for balance payment. You receive the complete documentation package: spec sheet, COO, phytosanitary cert, ISF confirmation, and CBP entry record — everything you need for your FSVP file.

2026 global shipping note: Red Sea & Suez Canal disruptions continue to re-route vessels via the Cape of Good Hope, adding 7–14 days to East Africa and Indian Ocean shipments. Port congestion on the US West Coast can occasionally add 3–7 days at arrival. All lead times above include these buffers. We monitor vessel schedules actively and alert you to any changes the moment we know.

Certified lots available on request
Not all lots carry all certifications — and certified lots typically come at a premium. Tell us what certification matters for your target market and we will source accordingly. For compliance with US import requirements, InGain LLC handles CBP as your IOR; FSVP compliance with FDA remains your role as the US buyer (we guide you through it).
Organic Certified
USDA Organic or EU Organic certified lots. Requires certified-organic processing chain. Adds a price premium and additional paperwork — worth it for premium DTC and health-focused brands.

80+ SCA cupping score qualifies as specialty. Our Ethiopia Arabica lots regularly score 84–92+. Specialty grade is a powerful label claim for roasters and premium retail positioning.

As the US buyer you are the FSVP importer of record. InGain LLC guides you through your FDA obligations: supplier verification, hazard analysis, and record-keeping. Our founder holds FSPCA FSVP certification.

Required on all commercial coffee sold in the US. We provide accurate COO documentation for every shipment. All InGain origins are single-origin, fully traceable — no blending without disclosure.

Certification availability varies by origin, harvest year, and cooperative. Not all farms in a given region hold all certifications. InGain LLC sources from DUNS-verified suppliers and can verify certification status for any lot on request before you commit to an order.
